Comprehensive or non-comprehensive — read this before you compare quotes

Almost every confusing AMC comparison comes down to this one distinction, and the cheaper quote is nearly always the narrower one. Comparing a comprehensive quote against a non-comprehensive one on price alone is the most expensive mistake in this category.

Neither type is wrong. Older hardware near end of life is often better on labour-only cover with parts replaced as a capital decision; a fleet of critical machines is usually better comprehensive. What matters is that you know which one you are signing.

What an SLA should actually say

"Same-day support" is not an SLA. An SLA names a severity, a response time, a resolution target and what happens when the target is missed. Without those four things there is nothing to enforce and nothing to review at renewal.

What preventive maintenance actually involves

Reactive-only AMCs are cheap because they do nothing until something breaks. The visits below are what stop the majority of the calls happening in the first place, and they are the difference between a contract that costs you money and one that saves it.

  • Physical cleaning of machines, fans and server-room intakes — heat kills more hardware in Indian offices than anything else
  • Operating-system and firmware patching, with a record of what was applied and when
  • Antivirus and endpoint protection status confirmed on every device, not assumed

  • Disk health and SMART warnings checked before a drive fails rather than after

The asset register, and why it belongs to you

Every AMC here starts with an audit that produces a register: every device with make, model, serial number, purchase date, warranty expiry, assigned user and location. It sounds administrative. It is the single most useful document your business will get out of the contract.

It tells you what to budget for replacement next year, proves what you own for audit and insurance, and means the next provider — me or anyone else — can take over in a day rather than a month. It is issued to you as a file you keep. A vendor who will not give you an asset register is protecting their position, not your equipment.

The same principle applies to credentials. Domain admin, firewall, NAS, Microsoft 365 and recorder logins are created in your business's name with you holding the master. I get accounts that you can revoke.

Do you actually need an AMC, or managed support?

These get confused constantly, and buying the wrong one wastes money in both directions. An AMC is fundamentally about keeping hardware alive: it is priced per device, bought annually, and its natural buyer is whoever owns the fixed-asset budget. Managed IT support is about keeping people working: it is priced per user, includes monitoring and a helpdesk, and its natural buyer is whoever hears the complaints.

A 20-person office with ageing desktops and no server usually wants an AMC. A 40-person office running Microsoft 365, a firewall and remote workers usually wants managed IT support. Plenty of businesses end up with both — an AMC on the hardware and managed support on the users — and that is a perfectly sensible answer as long as it was chosen rather than accumulated.

It becomes worth it when downtime has a real cost, when you have a server or a firewall that nobody in-house understands, or when you need a predictable annual figure for budgeting. I will tell you honestly which side of that line you are on.

Does the AMC cover parts, batteries and consumables?

Parts are covered under a comprehensive contract within the agreed scope. Consumables — toner, ink, paper — and physical damage, theft, fire and power-surge damage are normally excluded everywhere in the industry. UPS batteries are usually a named exception because they are wear items; whichever way it goes, it will be written down.

Can you take over an AMC from our existing vendor?

Yes. The changeover starts with an audit of what is actually in the building, a credential handover checklist and a list of anything already broken so it does not become a dispute later. Expect two to four weeks of overlap on a mid-sized estate.

Do you cover old, out-of-warranty hardware?

Yes, with the age reflected in the price and an honest note about which machines are worth covering at all. Sometimes the right advice is to replace three desktops rather than insure them for another year, and I would rather say that at quoting time than bill you for repeated failures.

Will we get admin passwords and documentation?
