Custom software that replaces the spreadsheet everyone is afraid to touch

Internal tools built around how your business actually works: billing, inventory, CRM, scheduling, dashboards and integrations between the systems you already pay for.

Quick quote — Custom software

Written, itemised quote within 24 hours. No obligation.

Goes straight to me — no mailing list, no sales sequence.

In short

Custom software is worth building when your process is a competitive advantage, when per-seat licences for off-the-shelf software exceed the build cost, or when no product on the market matches how you actually operate. When none of those is true, I will tell you which ready-made product to buy instead.

Typical projects here are billing and invoicing systems, inventory and stock control, scheduling, field-staff apps, dashboards for owners, and integrations that stop two systems disagreeing about the same number. You own the code, the database and the documentation.

Custom software at a glance

Best for
Processes that off-the-shelf software forces you to distort
Typical timeline
6–16 weeks depending on modules and data migration
Stack
Node.js, Python, Laravel, React, PostgreSQL, MySQL — mainstream and maintainable
Integrations
Tally, Razorpay, Stripe, WhatsApp Business, Zoho, Google Workspace, existing ERPs
Data
Migrated from your spreadsheets or legacy software, with a verified reconciliation
Ownership
Source code, database and documentation are yours, in your repository

Sound familiar?

Critical data lives in one spreadsheet on one laptop
Off-the-shelf software forces you to change your process
Two systems hold the same data and neither agrees
Reporting means a person copying numbers all Monday
The person who understands the spreadsheet is about to leave

What you get

  • Process mapping with the people who do the work
  • Data model and migration from existing spreadsheets or software
  • Role-based access so staff see only what they should
  • Automated reports and dashboards for owners and managers
  • Integrations with Tally, payment gateways, WhatsApp or your CRM
  • Audit trail, backups and a maintainable, documented codebase
  • Training and phased rollout so operations never stop

Build or buy? The honest test

I make more money building software than telling you not to, so treat this section as the one worth reading twice.

SituationRecommendation
A standard need — accounting, payroll, email, storageBuy. Tally, Zoho and Microsoft 365 do this better and cheaper than any custom build
Your process is unusual and it is why customers choose youBuild. Forcing that into a generic product destroys the advantage
Licence cost across many seats exceeds a build within 2–3 yearsBuild, and keep the maths in the quote so you can check it
The product exists but will not integrate with what you runUsually integrate rather than rebuild — cheaper and less risky
One spreadsheet is load-bearing and only one person understands itBuild, urgently. This is the highest-risk situation on this page

What gets built most often

  • Billing and invoicing with GST handling and Tally export
  • Inventory and stock control across multiple locations, with reorder alerts
  • Order and job management, from enquiry through delivery to payment
  • Scheduling and dispatch for field staff, with a mobile view that works offline
  • Customer and lead databases when a full CRM is more than you need
  • Owner dashboards that assemble themselves instead of being copied together on Monday
  • Integration layers so your website, accounting and inventory stop disagreeing

Maintainability is a deliverable, not a hope

Custom software becomes a liability the day nobody can change it. Everything is built on mainstream frameworks any competent developer can pick up, with documentation, a readable schema and your code in your own repository.

If you later want to move to an in-house developer or another firm, that is a handover meeting — not a rebuild. I would rather keep clients because the work is good than because leaving is expensive.

Indicative pricing

What custom software costs

Custom software is quoted after process mapping, because the honest range before scoping is uselessly wide. What I can commit to is the shape of the quote.

Quote lineHow it is priced
Discovery & process mappingFixed fee, credited against the build if you proceed
Each module (billing, inventory, reporting…)Fixed price per module, so you can stage the rollout by budget
Data migrationFixed fee based on the source systems and record volume
IntegrationsPriced per integration — Tally, gateway, WhatsApp, CRM
Training & rolloutIncluded in the build, per user group
Ongoing supportOptional monthly retainer, or handover to your own developer

Modules are deliberately priced separately so you can start with the one that hurts most and add the rest when it has paid for itself.

Why clients pick me for this

Four promises, written into every custom software contract.

Fixed price, no scope-creep billing

The quote you approve is the amount you pay. Anything extra is quoted and approved by you before a rupee is spent.

Milestone payments, not upfront risk

You pay against delivered stages. If a milestone is not signed off, the next one does not start.

Satisfaction sign-off before handover

Delivery closes only when you have tested it and confirmed it does what the scope said. Fixes inside that scope are free.

Support after the invoice is paid

A defined warranty period, then optional AMC. You call the person who built it — never a ticket queue.

How it runs

From your first message to signed-off delivery.

STEP 01

Process mapping

Time with the people who actually do the work — not just the owner's description of it.

STEP 02

Module-by-module quote

Fixed price per module, with a recommended order so the first release earns its cost.

STEP 03

Build with fortnightly demos

You use each module on real data before the next one starts.

STEP 04

Migrate, train, hand over

Reconciled data migration, staff training, documentation and code in your repository.

FAQ

Custom software — questions clients ask

Is custom software worth it compared with off-the-shelf?

Only when your process is a competitive advantage, when seat licences would exceed the build cost within two to three years, or when nothing on the market fits. Otherwise buy the product — Tally, Zoho and Microsoft 365 solve standard problems better and cheaper than any custom build.

How much does custom software cost in India?

It is quoted after process mapping because honest ranges before scoping are meaninglessly wide. What I commit to is structure: a fixed discovery fee, fixed prices per module, and separate lines for migration and integrations, so you can stage the rollout by budget.

How long does it take?

Six to sixteen weeks for most business systems, depending on module count and how messy the data migration is. Migration is nearly always the part that runs long, and I price it separately for exactly that reason.

Can it integrate with Tally?

Yes — Tally export and sync is one of the most common requests. Payment gateways, WhatsApp Business, Zoho, Google Workspace and existing ERP systems are also standard integration targets.

Who maintains the software afterwards?

You own the code and documentation, so you have options: I maintain it under a retainer, or I hand it to your own developer with a walkthrough. Nothing about the build is designed to make leaving expensive.

Can it work offline?

Yes, where the site demands it — offline-first capture with sync when connectivity returns. This matters for field staff, warehouses and factory floors, and it is a design decision made up front rather than bolted on.

What happens to our existing spreadsheet data?

It is migrated and reconciled — meaning the totals in the new system are checked against the old ones and any difference is explained before go-live. You keep the spreadsheets read-only until you are satisfied.

Will staff actually use it?

That depends on whether it was designed with them or at them, which is why process mapping includes the people doing the work. Phased rollout and training are part of the build, not an optional extra.
